Position Overview
A&F IT is seeking a SharePoint Business Analyst to support the Department of Revenue's enterprise initiative to migrate network file shares to Microsoft 365 SharePoint Online and OneDrive. This role will work closely with business units, application teams, security teams, and IT leadership to assess current file storage structures, analyze business processes, document requirements, and develop SharePoint information architecture and governance recommendations.

The ideal candidate will have strong SharePoint Online expertise, business analysis experience, file share migration experience, and the ability to translate complex business requirements into scalable SharePoint solutions supporting enterprise collaboration, security, and file management needs.

Key Responsibilities
Business Analysis & Requirements Gathering

  • Conduct stakeholder interviews and requirements workshops across DOR business units and A&F IT teams.
  • Analyze current business processes, file storage practices, and collaboration requirements.
  • Document business requirements, use cases, workflows, and functional specifications.
  • Create user stories, business process models, and process improvement recommendations.
  • Facilitate requirements reviews and stakeholder approval sessions.
SharePoint Assessment & Migration Planning
  • Assess existing network file shares and determine migration impacts.
  • Analyze folder structures, security permissions, and file ownership models.
  • Evaluate current file usage and collaboration patterns.
  • Define SharePoint Online and OneDrive adoption strategies.
  • Recommend SharePoint site structures and content organization models.
SharePoint Solution Design
  • Develop SharePoint information architecture recommendations.
  • Design SharePoint site structures, document libraries, metadata strategies, and governance models.
  • Define SharePoint security group structures and permission models.
  • Support enterprise architecture planning for SharePoint-based file storage.
  • Coordinate SharePoint security recommendations with IT security and CISO teams.
Application & Impact Analysis
  • Identify applications and business processes dependent upon network file shares.
  • Document application integrations, read/write dependencies, and migration impacts.
  • Analyze operational risks associated with file migration activities.
  • Produce application inventories and dependency documentation.
Documentation & Governance
  • Create and maintain: 
    • Business Requirements Documents (BRDs)
    • Use Cases
    • Process Maps
    • SharePoint Models
    • Security Models
    • Migration Documentation
    • Governance Documentation
  • Store and manage project artifacts within SharePoint.
  • Review and update SharePoint governance standards and documentation.
Stakeholder Engagement
  • Present findings, recommendations, and solution options to business and technical stakeholders.
  • Participate in executive and senior leadership briefings.
  • Facilitate meetings and project discussions.
  • Serve as liaison between business users, technical teams, project managers, and leadership.
Project Support
  • Utilize Jira to manage:

  • Support project planning, status tracking, and implementation activities.
  • Collaborate with project teams throughout the migration lifecycle.
Required Qualifications
  • Bachelor's degree in Information Technology or related field, or equivalent experience.
  • 5+ years of Business Analysis experience.
  • 2+ years of SharePoint Online experience in an enterprise environment.
  • Experience leading network file share to SharePoint migrations.
  • Strong understanding of:

  • Experience gathering, documenting, and validating business requirements.
